Diploma & Certificate Refund Policy

INTRODUCTION

As part of EQUI-SCOTIA CIC’s commitment to providing quality training on the Certificate in Equine Facilitated Learning and Professional Diploma in Equine Facilitated Learning and Development, course group size is kept to a reasonable maximum number. EQUI-SCOTIA CIC therefore requires full financial commitment from learners in accordance with the dates provided on course brochures and application forms.

If you are unable to attend your course, please read the information in this Policy to establish whether you are eligible for a refund.

COOLING-OFF PERIOD

For learners enrolling by email, there is a cooling-off period of 14 days from the day following the date of your emailed acceptance of your place on the Professional Diploma. If you cancel within this 14-day period, you will be entitled to a full refund of the course fees, only as long as the course hasn’t yet started.

After the 14-day cooling-off period and/or if any classes have been attended, you will not be entitled to any refund of the course fees.

If the course starts within the 14-day cooling off period, you may cancel the course, but you will not receive a refund of your deposit. You will also only receive a pro rata refund to reflect the proportion of the course not yet attended. This means you will also not receive a refund in relation to materials provided, marking time, accommodation costs or SQA registration fees.

WITHDRAWAL

If you are unable to attend or continue with your course due to changes in work/family/bereavement/financial commitments, this will be considered a withdrawal. If you withdraw and do not qualify for a refund under the conditions of the 14-day cooling-off period, EQUI-SCOTIA CIC is unable to issue a refund. The full fee for the course remains payable.

This also applies if you are withdrawn from your course at the request of your tutor due to poor/non–attendance or conduct issues.

EQUI-SCOTIA CIC may, in its sole discretion, offer a refund outwith the 14 day cooling off period in exceptional circumstances.  In such cases, the refund must be claimed using the Refund Request form attached within 30 days of the offer being made in writing by an Equi-Scotia Director.

REFUNDS RELATING TO ILLNESS

If you become ill prior to commencing or during your course, you may apply for a refund if the condition is permanent and prevents you from continuing. If your condition is temporary, you may be able to apply for a deferment, which will enable you to continue at a later date.

The refund will be calculated based on the percentage of taught block days attended and supervision sessions completed. Medical evidence will be required in the form of a doctor’s letter or equivalent. The deposit payment is non-refundable. There will be no refund given for marking time, accommodation costs or SQA registration fees.

COURSE RESCHEDULING

If EQUI-SCOTIA CIC needs to reschedule a course for a different time or location and this is not convenient for you, a full refund will be given.

Wherever possible, and at our own discretion, EQUI-SCOTIA CIC will endeavour to assist a learner in completing their course of study. However, we try to avoid placing new learners in established training groups wherever possible, due to issues of confidentiality and group formation. It may be necessary to include you in a new group in a subsequent training year.

If this course of action is available but the participant chooses to withdraw from the course, no refund will be given. (See ‘Withdrawal’).

COURSE CANCELLATION

If EQUI-SCOTIA CIC cancels a course, every effort will be made to offer an alternative. If no suitable alternative is available, a full refund will be given, however EQUI-SCOTIA CIC strives to avoid cancellation whenever possible.

Please return the completed form with relevant supporting evidence, providing as much information as possible to help us process your application without undue delay.
